The RMA Process, Step by Step

A good RMA process is boring and predictable: evidence in, analysis, disposition, replacement. A bad one is a black hole where boards disappear for months. Here is the flow a competent factory runs, and the one you should expect.

Document the failure before you ship anything

Send the factory a failure report first: photos of the defect, test results, the batch and date code, and how many units failed out of how many. Most factories will triage from this report alone — often the fix is a rework instruction or a replacement shipment without returning boards at all.

Get an RMA number and a committed timeline

Never ship returns without an RMA number — it links the shipment to your claim in the factory's system. Agree on the analysis timeline in advance: 48-72 hours for initial analysis, 7-10 days for full root-cause including cross-sectioning. Disposition: repair, replace, or credit

Track the root cause across batches

One-off failures happen to every factory. The question that matters is whether the same failure mode recurs in the next batch. Ask your supplier for their corrective action record — a proper 8D report with containment, root cause, and preventive action. What a Warranty Will Not Cover
